Policy

Policy for scheduled inspections, payment, stickers, and State filing. This is general guidance for our clients, not legal advice.

Arrival time

We intend to arrive at the time scheduled for your inspection. We may still arrive early or late.

If we expect to arrive early or late, we will use our best efforts to contact the responsible party at your facility or the front desk.

Weather, traffic, accidents, and other circumstances beyond our control, including acts of God, can affect the timeliness of an appointment.

Payment

Pay on the day of service or within 30 days.

We use Bluevine (cards, ACH, checks, and similar methods). After 30 days, a late fee of 1.5% per month may apply on the unpaid balance (or the maximum allowed for commercial accounts in Indiana).

We do not file forms with the State until payment is received.

Compliance stickers

Stickers are issued after payment clears. Pay the same day and stickers are left with you before we leave. Pay later and stickers are mailed. If mailed, your facility must place them in the correct operatories.

State filing window

After we inspect, we have 60 days to file with the State. This window runs from the inspection date and does not extend the State's grace period. Whichever date comes first is the one that matters.

We only file after payment, so pay on time to protect that filing window. If late payment causes us to miss that deadline, the State will not accept the original inspection. A reinspection is required, and you will be charged again.

Example: A machine expires on March 1, so its grace period ends April 30. If it is inspected on April 30 and paid a week later, we can only file after April 30, and the State will send your facility a violation letter.

Example: A machine expires on November 15, so its grace period ends December 31, not January 14. That is 46 days. If it is inspected on December 31 and paid a week later, we can only file after December 31, and the State will send your facility a violation letter.

We file with the State by USPS mail, and delivery takes time. Schedule your inspection and pay early enough in the grace period to allow for mailing.

If a machine fails

If a machine does not meet State guidelines, it fails. Repair it, then send us the official repair invoice. We attach that invoice to the forms and wait to file with the State until we receive it. The State usually accepts this. If we do not get the invoice within 45 days of the inspection, we file the forms anyway.
