FAQ

Payment, stickers, deadlines, and what an inspection covers. Details for each office type are on that office’s page. These answers are general guidance, not legal advice.

Are you a medical physicist, and do you perform radiation safety surveys?

No to both. We are X-ray machine inspectors. We inspect equipment for State compliance and file the required forms. We do not provide medical physics services, shielding design, or radiation safety surveys. Finding a radiation safety survey provider is your responsibility.

Can you inspect every X-ray machine?

Not always. If we cannot properly inspect a machine, you will not be charged. Finding another inspector is your responsibility.

How are your inspection criteria and pass/fail thresholds determined?

Pass/fail determinations map directly to current Indiana Department of Health regulations. We deliver a clear, objective report verifying that your equipment meets state compliance standards—keeping your facility audit-ready without unnecessary complexity.

What if my machine fails the inspection?

Repair it, then send us the official repair invoice. We attach it to the forms and hold the State filing until we receive it. If we do not get the invoice within 45 days of the inspection, we file the forms anyway.

Do new or moved machines need inspection?

Yes. This applies to all offices, including dental CEPH units. If a new machine is installed, or one is moved to a different area, it needs an inspection by an X-ray machine inspector. Dental PANO and CBCT units are the exception: they are registration only and are not inspected. A new or moved PANO or CBCT needs a safety survey by a medical physicist, which we do not provide.

Dental

Do you serve all of Indiana?

We inspect across Indiana when our schedule allows. Travel distance and availability affect whether we can take a request. Submitting a form does not guarantee a visit.

How much does an inspection cost?

Request an inspection and we email a quote at no charge. Dental PANO and CBCT units are registered only. They are not tested and are not included in the quote.

How do I pay, and when is payment due?

Pay on the day of service or within 30 days through Bluevine. We do not file forms with the State until payment is received.

Full payment terms and late fees

What are the two deadlines I need to know?

Each machine’s inspection expires on the date shown on the compliance sticker placed on it when it last passed. That date is followed by a 60-day grace period that never runs past December 31 of that year. The inspection and our State filing must both be done by the end of that grace period. Separately, we have 60 days from the inspection date to file with the State, and we file only after payment.

Deadlines explained with an example

What happens if payment is late?

We cannot file until we are paid. If payment pushes our filing past the end of the machine’s grace period, the State will send your facility a violation letter. Filings go by USPS mail, so allow time for delivery. Filing must also happen within 60 days of the inspection. If that deadline is missed, the State will not accept the original inspection. A reinspection is required and is charged again.

When do I get compliance stickers?

After payment clears. Pay the same day and stickers are left with you before we leave. Pay later and they are mailed, and your facility places them in the correct operatories.
